What is Embassy or Consular Legalization?

In today’s world, ensuring that your documents are recognized in other countries is crucial. This process is called embassy and consular legalization. Let’s break down what this involves and why it’s essential for documents like diplomas, contracts, and personal records.

What is Embassy Legalization? Legalization is a way to certify that a document is genuine and can be legally used in another country. Here are the main steps:

  1. Notarization: A notary public verifies the identity and witnesses the document signing.
  2. State Certification: The state office adds its seal to confirm the notary’s certification.
  3. Federal Authentication: the U.S. Department of State adds its authentication certificate.
  4. Embassy or Consulate Legalization: Finally, the embassy or consulate of the country where the document will be used verifies, approves, and stamps the document.

Notarization

Private documents need to be notarized. Vital records, like birth and marriage certificates, do not require notarization.

Contact your local notary for notarization service.

County Clerk Certification

Some notarized or state-issued documents may require county clerk certification to verify the authenticity of the notary's or state official's signature. This additional certification is often needed before obtaining a State Certification

State Certification

State certification verifies the authenticity of a document's notary, county clerk, or other public official's signature. This process ensures that documents are recognized as legitimate and can be used for international purposes.

Federal Authentication

The U.S. Department of State Authentication office verifies the validity of the document's state certification. Once verified, the federal authentication certificate will be  added to  the original documents to confirm its authenticity

Embassy Legalization

Now, with all necessary authentications completed, the document can be taken to the embassy for final approval, ensuring it meets the requirements for use abroad. The embassy will add stamps, seals, or an additional page with their certification to finalize the document's authentication for international use.

Document Ready

Once the document is embassy legalized, it is ready to be sent to its home country. Upon request we can send you eletrconic scans of the document and we can use DHL to securely deliver the document to its destination abroad.

  3. Business Agreements: International contracts need legalization to be enforceable.
  4. Personal Documents: Documents like birth certificates or marriage licenses must be legally recognized for immigration and other processes.
